Terms & Conditions
Last updated 24 October 2026
These terms apply to every round tour, day tour and tailor-made journey booked with Shall We Ceylon. Please read them before you confirm your booking. By paying a deposit, you accept them on behalf of everyone in your group.

Quotes and prices
- Every trip is private, so we send each traveller a personal quote based on your dates, group size, hotels and season.
- Quotes are valid for 14 days and are subject to availability until your booking is confirmed.
- Prices are in the currency shown on your quote and cover only the services it lists. Each tour page shows what’s included and not included, and your quote confirms it.
- Once your booking is confirmed, we’ll change the price only if government taxes, entrance fees or fuel prices rise significantly before you travel. If that happens, we’ll tell you straight away and explain why.
Booking and payment
- Your booking is confirmed when we receive your deposit and send you a written confirmation.
- A deposit of 25% of the total price is due to confirm your booking.
- The balance is due 30 days before you arrive. If you book within 30 days of arrival, the full amount is due when you book.
- Payment details are shown on your invoice. Any bank or transfer charges are paid by the sender.
- Some hotels ask for full payment in advance for peak dates, such as 20 December to 10 January. We’ll tell you before you book if this applies.
Changes you make
We’re happy to change your trip wherever we can. A change may cost extra if a hotel, train ticket or activity has already been booked and the supplier charges for it. Moving your travel dates within 30 days of arrival may be treated as a cancellation by some suppliers.
If you cancel
Please let us know in writing, by email or WhatsApp. These charges apply, based on the total trip price and the date we receive your message:
| When you cancel | Cancellation charge |
|---|---|
| 45 days or more before arrival | 10% of the trip price |
| 44 to 22 days before arrival | 25% of the trip price |
| 21 to 8 days before arrival | 50% of the trip price |
| 7 days or less, or no-show | 100% of the trip price |
Some hotels, peak-season dates and special experiences have stricter or non-refundable terms. If so, we’ll tell you before you book, and those terms will apply. We can’t refund services you don’t use once your trip has started, such as a missed night or activity.
Changes or cancellation by us
We plan carefully, but sometimes we may need to change a hotel, the order of your route or an activity, for example because of weather, road conditions or a problem with a supplier. If a hotel becomes unavailable, we’ll book one of a similar standard, and we’ll always tell you as soon as we can. If we have to cancel your trip for a reason within our control, you can choose a full refund of what you’ve paid us or an alternative trip.
Passports, visas and health
- Your passport must be valid for at least six months from the date you arrive in Sri Lanka.
- You are responsible for getting your Electronic Travel Authorisation (ETA) or visa before you travel. Please check the official requirements for your passport.
- Please check vaccinations and health advice with your doctor, and tell us about any medical conditions, mobility needs or allergies that could affect your trip.
Travel insurance
We strongly recommend travel insurance for every traveller. It should cover medical treatment, emergency evacuation, cancellation and the activities you plan to do, such as safaris, hiking or water sports.
Your chauffeur guide and vehicle
- Every round tour includes a private air-conditioned vehicle and an experienced chauffeur guide who stays with you for the whole journey.
- For your safety, we avoid long drives after dark and plan each day’s driving within sensible hours. Your guide may suggest changes to timings because of weather, traffic or festivals.
- Your guide’s meals and accommodation are included in your price. Tips are not included and are always up to you.
Activities, wildlife and safety
Some experiences, such as climbing Sigiriya, safaris, hikes, whale watching and water sports, carry natural risks. Please follow the advice of your guide and of park and activity staff. Safaris and boat trips are run by local operators and national park authorities, and wildlife sightings can never be guaranteed. We don’t offer elephant rides or animal shows.
Respecting local customs
Please dress modestly at temples, covering shoulders and knees, and remove shoes and hats where asked. Don’t pose for photos with your back to a Buddha statue, and never touch or feed wild animals. We may end our services, without a refund, if a traveller’s behaviour puts others at risk or breaks the law.
Our responsibility
We take care in choosing the hotels, guides and operators we work with, and we’re responsible for arranging the services in your confirmed itinerary. Many services are provided by independent suppliers, such as hotels, railways and national parks, under their own terms. As far as the law allows, we’re not responsible for loss, injury, delay or extra costs caused by events outside our control or by independent suppliers. Nothing in these terms limits our responsibility where the law doesn’t allow it to be limited.
Events outside our control
We can’t be responsible for changes or cancellations caused by events beyond our reasonable control, including severe weather, monsoon flooding, natural disasters, epidemics, strikes, civil unrest, government action or the closure of sites and parks. If this happens, we’ll do all we can to help, and we’ll refund any money we can recover from suppliers.
Feedback and complaints
If anything isn’t right during your trip, please tell your guide or message us straight away so we can put it right on the spot. If you’re still not happy, write to us within 14 days of your return and we’ll reply within 14 days.
Photos
We love sharing moments from our guests’ journeys, but we’ll always ask your permission before using any photo of you on our website or social media.
Governing law
These terms are governed by the laws of Sri Lanka, and any dispute will be handled by the courts of Sri Lanka.
