Privacy Policy
Last updated 24 October 2026
Shall We Ceylon (“we”, “us”) plans private journeys in Sri Lanka. This policy explains what personal information we collect when you use this website or travel with us, why we need it and how we look after it.
Who we are
Shall We Ceylon, A146, Poththegoda, Medagoda, Amithirigala, Sri Lanka. Email info@shallweceylon.online · WhatsApp +94 77 501 9701. We are responsible for the personal information described in this policy.
The information we collect
Information you give us when you enquire or book:
- Your name, email address, phone or WhatsApp number and country
- Travel details: dates, group size, children’s ages, budget, interests, hotel preferences and anything you write in a message
- Details we need to book your trip: names as shown on passports, passport numbers where a hotel, park or authority requires them, flight details and an emergency contact
- Dietary, accessibility or health needs you choose to tell us, so we can plan safely and comfortably
We only ask for what we need to plan and run your trip.
How our website forms work
Our enquiry, price-request and contact forms don’t send your details to a database on this website. When you press send, the website prepares a message on your device and opens WhatsApp, where you choose whether to send it to us. Once sent, the message is handled by WhatsApp (part of Meta) under its own privacy policy, and by us as described here.
The “Add to my trip” list on our Destinations and Experiences pages is saved only in your own browser, so it’s still there when you come back. It’s never sent to us unless you include it in a message.
Cookies and third-party services
We don’t use advertising or tracking cookies. Our pages load the Poppins and Inter typefaces from Google Fonts, which means your browser connects to Google’s servers and shares your IP address so the fonts can be delivered. Links to WhatsApp and other websites are covered by those sites’ own policies.
How we use your information
- To reply to your enquiry and prepare itineraries and quotes
- To book and confirm hotels, transport, tickets, safaris and activities
- To look after you during your trip, including contacting you or your emergency contact if needed
- To take payments and keep the accounts and records the law requires
- To send seasonal tips or offers, only if you ask for them. You can stop them at any time.
We use your information because you’ve asked us to plan or provide a trip, because the law requires it, or, for optional messages such as newsletters, because you’ve agreed to receive them.
Who we share it with
We share only what each partner needs to deliver your trip:
- Hotels, villas and lodges where you stay
- Your chauffeur guide and any local guides
- Safari, boat, train-ticket and activity providers
- Government bodies, park authorities or the police where the law requires it
We never sell your personal information, and we don’t share it for other companies’ marketing.
International transfers
We’re based in Sri Lanka, so if you contact us from abroad your information will be transferred to and handled in Sri Lanka. Services such as WhatsApp and email providers may also process it in other countries. We take reasonable steps to keep it protected wherever it’s handled.
How long we keep it
We keep enquiries that don’t become bookings for up to two years, in case you return to your plans. We keep booking and payment records for as long as Sri Lankan tax and accounting rules require. After that, we delete them or make them anonymous.
Keeping it safe
We take reasonable technical and organisational measures to protect your information, limit access to the people who need it to plan or run your trip, and ask our partners to treat it with care. No way of sending information online is completely secure, so please don’t send card numbers over email or messaging apps.
Your rights
Depending on where you live, you can ask us for a copy of the information we hold about you, ask us to correct or delete it, object to or limit how we use it, and withdraw your consent at any time. These rights are recognised under Sri Lanka’s Personal Data Protection Act, No. 9 of 2022, and, for travellers in the UK and the European Union, under the GDPR.
To make a request, email info@shallweceylon.online. We’ll reply within one month. If you’re not happy with our answer, you can also contact the data protection authority where you live.
Children
We collect information about children only from their parents or guardians, as part of a family booking.
Changes to this policy
We may update this policy from time to time. The date at the top of the page shows when it last changed.
